The email footer: what the rules require, and what's worth adding

The small print at the bottom of every email. It's where the law, Gmail and your customers all go looking for the same thing: the way out.

045Footer
The bottom section of an email, often containing legal information, unsubscribe links, and contact details.

Has to carry
Who's sending, a working unsubscribe and a valid contact address
Worth adding
A preferences link, delivery and returns help, a reply address someone reads
Rules that apply
PECR and UK GDPR in the UK, CAN-SPAM for sends to the US

What else earns a line at the bottom of a shop's email

  • A reply address somebody actually reads, not a noreply
  • Links to delivery, returns and your help pages
  • One line on why they're getting it, like signing up at checkout
  • Your full business name and address, written out once
  • Social links, kept small, if you actually post

Then stop. A wall of grey legal text in tiny type helps nobody, and the bits that matter get lost in it. Klaviyo will add a basic unsubscribe link if it can't find one in your email, but that's a safety net, not a footer.

Does a marketing email need a postal address in the UK?

PECR asks for a valid contact address people can use to opt out, and the ICO's guidance doesn't spell out a postal one. US law is stricter: CAN-SPAM wants a physical postal address in every commercial email. Putting your postal address in anyway covers both in a single line. None of this is legal advice.

Can I make the unsubscribe link small so fewer people leave?

You can, and you'll regret it. People who can't find the way out press the spam button instead, and complaints damage your sending far more than unsubscribes do. Google also asks bulk senders for a clearly visible unsubscribe link. Make it easy to see, and give people a preferences link beside it.

Should the footer say why someone is getting the email?

Yes, in one plain line. Something like: you're getting this because you signed up at checkout. People forget where they gave you their address, and a reminder is a lot cheaper than a complaint. Keep it true for every list the footer goes to, or vary it by flow.

Rather we explained it on your own account?

Bring your Klaviyo account to a growth consultation. We'll walk through what this means for your numbers, in plain English, and what we'd fix first.
