Email automation: what to hand to software, and what to keep
Software sending the right email to one person at a time, with nobody pressing send. It's the half of your email that earns while you're busy, and the half nobody checks.
- 035Email Automation
- The use of software to send emails automatically based on predefined triggers or schedules.

- Runs on
- A trigger, like a signup or an order, or a date on the profile
- Covers
- Flows, order and shipping emails, and date sends like birthdays
- Doesn't cover
- Your campaign calendar, which still needs a person every week
- Reported as
- Flow revenue, kept separate from campaign revenue in Klaviyo
The one test for whether an email should be automated
Ask whether the right email would be the same every time this happens. A first signup, a basket left at checkout, a first order, a parcel leaving the warehouse: yes, every time. Hand those to software.
A launch, a sale, a restock everybody's waiting for, a note about a delay: no. Each one needs somebody to decide what to say this week. Automate those and you end up with a flow still mentioning Black Friday in March.
| Automate it | Keep a person on it |
|---|---|
| The welcome after a signup | The launch of a new range |
| The reminder after a left basket | The sale, and when it ends |
| The thank you after a first order | Anything about a delay or a fault |
| The nudge before a reorder is due | What the whole list hears this week |
Automated doesn't mean unattended
This is the bit the software demos skip. An automation sends exactly what you told it to, on the day you built it, until somebody stops it. It won't notice a product's been discontinued, an offer's ended, or three flows emailing the same shopper on the same afternoon.
- Offers that ended but still sit in the second email
- Products that sold out, still pictured and still linked
- Two flows chasing one shopper because neither knows about the other
- Filters nobody's read since the person who wrote them left
Some sends get skipped on purpose, too. Klaviyo's Smart Sending skips a message for anybody who's heard from you recently, which suits a promotion and doesn't suit a back in stock alert. The settings that mute flows are quick to check.
Reading your automation's numbers in Klaviyo
Klaviyo splits attributed revenue between flows and campaigns. Read the split before the total. If flows are the smaller half on a shop with healthy traffic, the automation isn't finished, and that's where the next month of work belongs.
Then read each flow per recipient, against its own history. A total rewards whichever flow gets the most traffic. Per recipient shows which ones actually work, and flow revenue against campaign revenue has the long version.

FAQs

Is email automation the same as email flows?
Nearly. Flows are how automation shows up in Klaviyo, and most people use the two words for the same thing. Automation is the wider idea. It also covers order and shipping emails, which your shop platform may send without Klaviyo involved, and anything that goes out on a date, like a birthday. Every flow is automation. Not every automated email is a flow you built.
Can email automation replace a campaign calendar?
No, and you wouldn't want it to. Automation answers what one person just did. Campaigns carry what only happens once: a launch, a sale, a story worth telling this month. A shop that automates everything ends up with a list that never hears anything new. Build the flows first, then keep the calendar going.
Does automated email need the same consent as a campaign?
Yes, if it's marketing. Automating a send doesn't change who you're allowed to send it to. You still need consent, or the soft opt-in for existing customers hearing about similar products, plus an unsubscribe in every email. A genuine order or shipping email is a service message, which is different. The [ICO's direct marketing guidance](https://ico.org.uk/for-organisations/direct-marketing-and-privacy-and-electronic-communications/) covers both.
